Cancellation Timeframes & Fees

Free Cancellation - 24+ Hours Notice

Cancel or reschedule your booking with no penalty when you provide at least 24 hours notice before scheduled pickup time. This applies to all our services including private shuttles, group transfers, and corporate bookings.

Whether you're traveling from Katoomba, Leura, or Blackheath, you can cancel risk-free with adequate notice. See our refund policy for processing timeframes.

12-24 Hours Notice - 50% Cancellation Fee

Cancellations made between 12-24 hours before pickup incur a 50% charge of the booking amount. The remaining 50% is refunded within 5-7 business days. This timeframe helps us manage driver schedules and vehicle allocation for passengers from Springwood, Faulconbridge, and other areas.

Less Than 12 Hours - Full Charge Applies

Cancellations with less than 12 hours notice result in full charge as your driver and vehicle have been committed to your booking. No refund is available for these last-minute cancellations.

Flight Delay & Change Exceptions

Flight delays are exempt from cancellation fees. Our flight tracking technology monitors your flight in real-time, and we automatically reschedule your pickup at no charge. Learn more about early or delayed flights and our policies.

If your airline cancels or significantly changes your flight time (more than 3 hours), contact us immediately. We'll work with you to reschedule or provide a full refund, regardless of notice period. This applies to passengers from all suburbs including Glenbrook, Woodford, and Linden.

Special Circumstances

Medical Emergencies

Documented medical emergencies for the passenger or immediate family member are exempt from cancellation fees. Contact us as soon as possible and provide medical documentation when available.

Severe Weather Events

Extreme weather conditions making travel unsafe or impossible result in full refund with no penalty. Blue Mountains weather, particularly in Mount Victoria, Medlow Bath, and Mount Wilson, can be unpredictable - we prioritize passenger safety.

COVID-19 Related Cancellations

If you test positive for COVID-19 or are required to isolate, we waive cancellation fees with medical evidence. Review our safety and cleanliness protocols for current health measures.

How to Cancel Your Booking

To cancel your Blue Mountains transfer, contact us by phone at 0427 143 612 or email info@bluemountainsshuttle.com.au. Include your booking reference number and scheduled pickup date. Cancellation time is calculated from when we receive your notice, not when the message was sent.

For same-day cancellations, phone contact is required. Email cancellations sent less than 24 hours before pickup may not be processed in time. For bookings from Bell, Mount Irvine, or other remote areas with longer travel times, allow extra time for communication.

Rebooking Options

Instead of canceling, consider rescheduling your booking. Changes made more than 24 hours in advance are free of charge. This flexibility works well for travelers adjusting dates for special events or business travel.

Refund Processing

Eligible refunds are processed within 5-7 business days to your original payment method. Full details are available in our refund policy. For corporate accounts using our business services, refunds are applied as credits to your account.
